Benefits of Intranet Discussion Forums

Communication is an essential part of running a successful business. In order to become and remain successful, organizations of all sizes must ensure efficiency of communication between employees. Intranet forums, discussion groups, and company bulletin boards can offer businesses the tools they need to allow open, reliable, and secure communication between employees, managers, and human resources.

An intranet is a database of internal files, documents, and other information that can be made accessible to anyone within the organization, while remaining closed to the public. Intranets increase employee productivity by reducing the amount of time lost due to misinformation, missing paperwork, and unclear policies and procedures. Intranets also allow easier communication between different company departments, and enable remote employees to remain updated on all aspects of operations. Effective use of an intranet may also reduce the need for traditional face-to-face business meetings and confusing conference calls.

Traditionally, information exchange and collaboration on projects is done at scheduled times, during formal meetings. This requires a great deal of planning and time that could be better spent in other areas. Setting up formal business meetings can also be challenging, as availability of all interested parties needs to be considered before the meeting can be arranged. Intranet discussion forums eliminate these challenges, and provide a time-efficient way to keep employees updated. Forums also allow employees and management the ability to share information and concerns immediately – without the need to keep track of memos and notes.

Company project information can be openly shared through discussion forums, scheduled chats, and electronic bulletin boards. Enabling employees the ability to quickly look up project details posted on an intranet bulletin board requires much less time than the traditional method of contacting every other employee assigned to the project to locate the same information. Collaboration between different departments is greatly improved when each employee is able to update their own project records and progress, and can then freely share that information, virtually, with everyone else assigned to the project.

Most intranet software packages allow the archiving of information. This archived information can be used later for reference purposes, and provides a reliable means of evaluating individual employee participation and productivity. New employees will have instant access to archived information, which can result in a substantial time and cost savings. Less time will be required to educate new employees on project information and company policy.

Depending on the level of participation, live chats and discussion groups may require monitoring to ensure that everything runs smoothly. A policy outlining what subjects are allowed to be discussed, and what amount of time employees are allowed to spend utilizing the forums, should be put into place to prevent abuse of these communication tools. Additionally, security measures should be considered to protect the possible leakage of confidential client information during chats.

An intranet is an extremely useful communication tool, and provides the most efficient way to post reports, memos, and company information. Forums and intranet discussion boards provide immediate access to information, encourage employee collaboration, reduce the need for time-consuming meetings, and allow an accurate record to be kept of project details and employee productivity. All organizations can benefit from these tools, and the time and money saved in the long-term will be substantial.
